The rules that keep FluentSpheres fair for students, teachers and the school.
Cancellation and refund policy
Cancellations are requested inside the platform, from the lesson card in your calendar or dashboard. When a lesson is cancelled at least 24 hours before it starts, the credit is returned to your balance and, where the payment allows it, your teacher or the school can refund it to the original card through Stripe. Cancellations made inside the 24-hour window are not refundable, because the teacher has already reserved and prepared that time. In that case, rescheduling is the way to keep the credit and stay on track.
Rescheduling a lesson
Rescheduling must also be requested at least 24 hours before the original start time. The other party can accept, decline, or send a counter-proposal, and the platform always shows whose turn it is to answer, so nobody is left waiting without knowing. Once a new time is confirmed the lesson moves and the credit stays attached to the booking. Rescheduling a single lesson inside a recurring series only moves that lesson, never the whole series.
Lesson credits
Credits are bought for a specific lesson length (30, 45 or 60 minutes). Single-class credits and package credits are tracked in separate balances, so a package is never silently consumed by a one-off booking. Booking a lesson spends one matching credit, and a refunded cancellation returns it. Trial lessons are limited to one per student-teacher pairing and cannot be booked as a recurring class.
Payments and pricing
Top-ups are handled by Stripe (card, Link and other supported methods) or PayPal. FluentSpheres never stores your card details; they stay with the payment provider. Prices are shown in USD at checkout before you confirm, and any discount code is applied to the visible total. Every purchase produces a receipt and a matching entry in your credit ledger, so your balance can always be traced back to a payment.
Teacher responsibilities
Teachers set their own availability, rates and teaching style. They are responsible for accepting, rescheduling or declining lesson requests in good time, for showing up in the classroom at the agreed time, and for processing refunds when the 24-hour cancellation rule is met. A teacher who has to cancel a lesson follows the same rules, and the student's credit is returned automatically.
Privacy, recordings and your data
Lesson audio and whiteboard snapshots can be captured to generate your AI lesson recap, vocabulary list and homework. This material is used only to build your own learning record; it is visible to you and your teacher and is not sold or shared with third parties. You can ask us to delete your recordings, recaps or your whole account at any time by writing to the team, and we will action it within a reasonable period.
Community conduct
Students and teachers are expected to be punctual, respectful and constructive. Harassment, discrimination, or attempts to move payments off the platform are grounds for suspension. Both sides can report or block a counterpart from the students or teachers page, and every report is reviewed by the school.
